For student specific accommodation and university residences in Ireland
Student accommodation in Ireland that answers on WhatsApp, and keeps every repair on record
Tuesday, 8:15, the week before reading week. Three residents write to the building's WhatsApp within ten minutes: a shower with no hot water, a broken blind and "is the laundry open on Sunday?". Bedel answers the laundry question from the building's own information, opens the two repair tickets with their numbers and sends each to whoever handles it, on shift, with its deadline. Nobody at the desk had to copy anything from a group.
What a resident writes, and what happens to it
| What the resident writes | What Bedel does |
|---|---|
| "No hot water in the shower, room 412" | It opens the ticket, replies with its number and sends it to the role that handles plumbing, with the deadline you set for that category |
| A photo of a cracked window, without a word | The photo is enough: it works out what is broken and asks where, if that is missing |
| "The fire door on the third floor won't close", at 1:30 | If you have marked it urgent, it goes to everyone in the role at once, at any hour |
| "Is the laundry open on Sunday?" | It answers from the information the building has given it. What is not written down goes to a person |
| "A parcel came for me?" | The desk logs what arrives from the dashboard or with "/paquete", and Bedel tells the resident on WhatsApp |
| "I need to talk about my licence agreement" | Contracts, money and conflicts go to one specific person's phone, by role and shift: a machine does not decide them |
Why the building's WhatsApp, and not a group or a portal
Residents do not log into a portal to say the shower is cold; they message whoever they can. Bedel takes that message where it already arrives, on the building's WhatsApp, and turns it into a ticket with an owner. It never writes to a group: each notice reaches one person, by role and shift, and every step keeps its time.
Repairs with an owner, a deadline and a record
- Each category has its deadline in hours, its SLA, and you set it. Reminders go to whoever holds the ticket at 50 % and at 85 % of the deadline.
- An urgent ticket that goes overdue rings again once a day; after three days, management is told once.
- The technician accepts, says when they will come and closes the ticket with a photo of the repair; the resident hears about each step.
- A fault repeated in the same room within twelve months is flagged to the technician, with the earlier tickets.
- Every morning, management gets one message with the tickets nobody has taken. More in faults and incidents.
What Irish rules ask of the building, and what Bedel has to do with it
No rule requires Bedel. Since 2019, student specific accommodation sits within residential tenancy law and under the RTB, whether it is signed as a tenancy or as a licence (Residential Tenancies (Amendment) Act 2019), and its landlord carries the repair duties of that law: the structure, and the interior and its fittings in at least the condition they were in when the tenancy began (Residential Tenancies Act 2004, s. 12). Premises that provide sleeping accommodation are among those where the person in control must take all reasonable measures to guard against fire (Fire Services Act 1981, s. 18). A dated record of who reported a fault, who took it and when it was fixed helps show that those duties are met; it does not replace them. The rest, from the 41-week limit to rent, is in the Ireland regulation page.
Data and AI: GDPR and the AI Act apply as they do in Spain
Ireland is in the EU, so the rules are the same ones Bedel already works under: the GDPR, with the residence as controller and Bedel as processor under the published processing agreement, and the AI Act, whose Art. 50 requires anyone talking to an AI to know it. Bedel says so from the first message. The data is stored in Ireland; the AI model runs in the US under standard contractual clauses.
How it starts
- A half-hour session with whoever runs the building and whoever runs maintenance: who handles what, the categories with their deadline, what is urgent at night and who is on call.
- The number: the one residents already have, or a new one connected to Meta's official platform.
- The building's information Bedel may use. What is not written down goes to a person.
- Your room rack in a spreadsheet, if you want Bedel to know who lives where. It does not replace your housing system.
What it does not do, said before the call
- It is not a housing management system: no room allocation, licence agreements, rent, deposits or RTB registration, and it does not connect to the system you use.
- It has no portfolio view: one account is one building.
- Your team's side is in Spanish today: the notices, the buttons and the commands. Residents are answered in their own language.
- It does not control access: no keys, QR codes or turnstiles.
- It does not translate what the team writes to a resident in the direct chat, nor the announcements.
Questions
Do you already work with residences in Ireland?
Not yet. The residences that use Bedel today are in Spain. The product and the EU rules are the same; the contract is agreed before signing.
Where is the data kept?
In the European Union, in Ireland. The residence is the controller and Bedel the processor, under the processing agreement published on the website. The AI model runs in the US under standard contractual clauses.
In what language does our team receive the tickets?
In Spanish, today: the notices, the buttons to accept a job and the commands. Residents are answered in the language they write in. Say so on the call if your team needs them in English.
Does it handle licence agreements or RTB registration?
No. Contracts, rent and registration stay where they are now. Bedel answers the building's WhatsApp and organises what comes in through it.
Does a resident need to install an app?
No. They write to the building's WhatsApp. Whoever fixes the fault receives it on their own WhatsApp, with buttons.
