Does it comply with Spanish Act 3/2022 on university coexistence?
Act 3/2022 binds universities, and reaches a colegio mayor through its integration into or affiliation with one of them: the hall has to be consistent with its university's Coexistence Rules. What Bedel provides is the channel that article 4.2 asks for complaints and reports (confidential, encrypted and logged) and the guarantee that a coexistence complaint reaches management and is not resolved by a machine. What the law asks of whom is in the whistleblowing channel guide, with the article.
How does the dining hall work in practice?
The resident writes the usual: that they are skipping dinner, that they want a packed lunch, that their meal should be kept. Bedel logs it before that service's cut-off time, which the hall configures, and the kitchen sees it in its notice, one day per line, or asks for the summary with a command from its WhatsApp. If a notice arrives late, Bedel asks whether to request it anyway and the kitchen sees it flagged as late. Standing rules and the weekend and bank-holiday rules belong to the hall.
Can the kitchen use it without a computer?
Yes. The kitchen receives the notices on its own WhatsApp with the packed-lunch and summary buttons, and can ask for the count for each service and each day with the commands /cocina, /desayuno, /comida, /cena and /picnics. The dashboard adds the headcount forecast, the allergen labelling of dishes and the allergy screen, but the day-to-day does not need it.
What if a mother writes to the hall's number?
She is attended to. First it is verified that she is who she says: the resident authorises it with a button and, if they do not answer within 48 hours, the team decides from the dashboard. A verified family member is answered on what is general information and receives allergen and event notices if they have given consent. What belongs to the resident (whether they have gone out, whether they have eaten, how they are) is not given without their authorisation.
What does management see?
The state of everything in the dashboard: conversations with search, tickets with their deadline and status, the dining hall with its forecast, absences, parcels and bookings; the hall's metrics with no rankings of people; and the reports, which are read only from there and with every reading logged. Plus a summary email every night, the weekly one on Sundays and the monthly one on the last day of the month.
What happens with what Bedel cannot answer?
It does not improvise. What is not in the hall's handbook, what touches money, health or exceptions to the rules, and what sounds like a conflict, goes to one specific phone according to the org chart and the shift, with the context of the conversation. If nobody picks it up, it goes up to the area lead and then to management. The team can talk to the resident directly through the same number.
