Do we have to register every guest?
No. Anyone who writes to the hostel's number gets an answer from your rules and your opening hours, and if they report a repair the ticket opens with their phone number and they receive the accepted and fixed notices. What changes when someone is not in the directory is what isn't written down: it is not passed to a person, it stays in the dashboard. If you want that treatment for some guests, they are loaded into the directory with their phone number, from a spreadsheet or by accepting them from the conversation.
What happens with a repair at two in the morning?
That depends on what it is. Anything urgent rings on the phone of the post covering that time slot in the org chart, and a real emergency on the phones of the people on call. What can hold until daytime stays open and is delivered when the next shift starts, with the deadline running from that moment; the guest already knows it's logged. And low-priority items go into the first-thing summary.
Does it answer pilgrims who write in German, Korean or Portuguese?
It replies in the language of the last message, and if something was going to come out in Spanish for someone who doesn't write in it, it is translated first. Times, links and names stay as they were: a 10:00 check-out is still at 10:00. What goes out as it is, untranslated, are the status notices of a repair and whatever the team drafts.
Does it handle guest registration or connect to our booking system?
No. The documentary register of travellers regulated by Royal Decree 933/2021 (the computerised register, keeping it for three years and transmitting the data through the Ministry of the Interior's systems) stays in your management software. Bedel does not see availability or book beds either: to anyone asking for a bed it answers with what you have written for that, be it the booking link or a phone number.
Does it work if maintenance is one person or an outside company?
Yes. The ticket is born the same way (what it is, how urgent, by when) and goes to the maintenance post listed in your org chart, which can be an outside person with their own WhatsApp: they accept, resolve and close with buttons. The company and the technician's hours are not recorded in Bedel.
What does the hostel need to prepare to get started?
What it already has on paper somewhere: the house rules, the times (check-in, check-out, kitchen, quiet hours, luggage room) and who handles what on each shift. With that, Bedel answers and routes. The missing answers come from the questions themselves: every question it cannot answer stays in the dashboard, and every early morning, drafts are proposed for the team to approve or correct.
Where is the guests' data?
In the European Union: the database and the functions run in Ireland. The artificial intelligence model runs in the United States under Standard Contractual Clauses, and its provider does not use the centres' data for training. Conversations with no activity disappear when the retention period is up (twenty-four months, unless the hostel sets another), and the data processing agreement is published for whoever handles your compliance.
