Saturday, 11:40, with the shop full. A customer tries to get changed and the lock on fitting room 2 won't close. The sales assistant tells the manager between two sales, and the manager writes it on the back of their hand, because the notebook is in the stockroom. On Monday, the other shift asks whether anyone reported it. With Bedel, the sales assistant writes a line to the shop's WhatsApp without leaving the till. The report rings within seconds on the phone of whoever fixes it, with buttons, and if the deadline passes it goes up to the person above. The fault stays in a spreadsheet with its three times.

What it is and what it isn't. Bedel takes whatever the team see broken in the shop and follows it until someone marks it as fixed. Nothing to do with sales: it doesn't link to the till or the card terminal, doesn't track stock and doesn't talk to customers.

What's written: "The lock on fitting room 2 won't close"

What happens: It reads it as a fitting-room fault and sends it to the phone of whoever fixes it, with buttons. The sales assistant is told when someone takes it and again when it's done

What's written: A photo of the shutter stuck halfway, without a word

What happens: The photo is enough to open the fault ticket. If you've said a jammed shutter is urgent before opening, it rings straight away

What's written: "Water is coming in through the stockroom ceiling"

What happens: If you've marked water as urgent, it rings at any hour on the on-call phone, even with the shop closed

What's written: "What time does the restock come in today?"

What happens: It answers from whatever the shop has written down. If it isn't there, it doesn't make it up and passes it to a person

What's written: "The card machine won't connect"

What happens: It's logged like any other report and goes to the role you set, for example the card terminal provider. Bedel doesn't see the till or the payments

The team can't leave the till or the fitting rooms to fill in a form. The fault gets mentioned out loud, and what's said out loud doesn't survive the change of shift.

• The manager hears it between two customers and writes it on their hand, or in a notebook that lives in the stockroom.
• It's mentioned in the team group, between rotas and shift swaps, and ten messages later nobody can see it.
• In a shopping centre you also need to know whether what's broken belongs to the shop or to the centre, and who gets called in each case.

Almost all of it can be seen from the street or from the fitting room. Each category has its role in your structure and its own deadline.

• The shutter and the front door: the shop that can't open, with the team waiting outside.
• The window display: a blown spotlight, the sign switched off. The first thing a passer-by sees.
• The fitting rooms: the lock, the curtain, the light. A broken fitting room is a closed fitting room.
• The stockroom: a leak, a loose shelf. And whatever an outside supplier looks after, like the air conditioning or the card machine, which joins the structure with its own WhatsApp.

Every report reaches a named person's phone, by category and shift, and never a group.

• Before the deadline, there are two reminders. If it passes, it goes up once to the person above; urgent ones ring again every day until they're closed.
• At night or on a bank holiday, the roles you choose get their reports when their shift starts; whatever you've marked urgent —water, a shutter that won't let you lock up— rings straight away on the on-call phone. Smoke or fire always alert the team, with the instruction to call 112.
• Every ticket leaves three times in the Excel. On nights with tickets, the account's email gets the summary, and the dashboard shows how long each category takes to be taken and resolved, over 7, 30 and 90 days.

No law requires faults to be reported by WhatsApp. What does apply concerns the state of the premises, and a dated report helps show that action was taken. What applies to your shop depends on the country; your adviser confirms it. This isn't legal advice.

• In Spain, Royal Decree 486/1997 on workplaces protects the team, not the customers. Its annex II (sections 2 and 4) requires regular cleaning and maintenance, and annex III (section 3.a) sets between 14 and 25 °C for light work, which is usually what a shop job is.
• In Spain, Royal Decree 513/2017 on fire protection: its annex II lets the owner carry out the quarterly fire extinguisher check, leaves the annual one to a maintenance company and asks for records to be kept for five years. Bedel doesn't replace those records.
• Bedel receives no data about your customers or the till, only what the team writes, and your company remains the controller (GDPR, art. 28, an EU rule; processing contract). It introduces itself as an AI from the first message (EU AI Act, art. 50) and doesn't ask for documents or cards in the chat (WhatsApp Business policy).

A call with whoever runs the shop. Nothing to install on anyone's phone.

• Who fixes what (the engineer, the shutter or air-conditioning supplier, cleaning, the shopping centre's management), who answers on a Sunday and the categories in your own words: "shutter", "window", "fitting rooms", "stockroom".
• The shop's number registered on WhatsApp Business, who can report (from an Excel) and the first fault, opened by the manager.

• Nothing to do with sales: no online shop, no till, no card terminal, no stock, no orders.
• It doesn't serve customers. The people on the shop's list report; a shopper who sees a broken fitting room doesn't open reports on their own.
• Each account is one shop: if you run more than one, you see each separately, with no screen that brings them together.
• It doesn't replace the fire extinguisher inspection records or any other record the law requires.
