Wednesday, 18:20. A waitress notices that the ice machine has stopped making ice and the place is packed. She posts it in the group, between the rota and a photo of an order. The manager reads it at nine and nobody knows what time it started. With Bedel she writes to the business's WhatsApp instead; the report rings on the phone of whoever fixes it and three times are kept: reported, taken and fixed.

What it is and what it isn't. It's the business's WhatsApp turned into a queue of faults: the team report them, whoever fixes them receives them, and each one is followed until someone closes it. It isn't maintenance software or an ERP: no inventory, no purchasing, no invoices. Nor is it a complaints box for customers: the people on the business's list do the reporting.

What Bedel does: When the deadline passed, it went up to the person above. If it's urgent, it rings again every day until it's closed; every step is dated in the Excel

For anyone with premises, a team who spot the faults and someone who fixes them, in-house or brought in from outside. The words and the deadlines change; the route doesn't:

• Restaurants: the cold room that stops cooling.
• Hotels: the broken air conditioning that housekeeping finds.
• Gyms: the treadmill with the "out of order" sign.
• Sports centres: courts, changing rooms and the pool.
• Offices: the air conditioning and the meeting room that won't open.
• Coworking spaces: the wifi and the meeting rooms.
• Shops: the shutter and the till.
• Franchises: each outlet with its own number.
• Blocks of flats: the entrance hall and the lift.
• Schools: what the caretaker sees before anyone else.
• Academies and tutoring centres: the projector and the heating.
• Clinics: the treatment room and the corridor, with no patient data.
• Warehouses and workshops: the machine that stops.

Whoever spots the fault mentions it wherever they can: the group, a phone call, a note left in the staff room. None of them keeps the time.

• The group mixes the fault with the rota, the closing-up photos and tomorrow's order. By ten, the nine o'clock message is three screens up.
• Nobody knows how long anything takes to fix; people only remember the last one, the one that went wrong.
• Whoever fixes it, if they come from outside, gets a call with no photo and no exact location, and has to ask all over again.

Bedel doesn't post to groups: every report goes to one person's phone, according to the structure and the shifts you set.

• Whoever fixes it gets it with buttons ("Accept today", "Accept tomorrow", "More info", "Reassign"), and every tap is time-stamped.
• The deadline is set by category, with one reminder halfway and another close to the end. If it passes, the ticket goes up once to the person above, without taking it away from anyone.
• Urgent tickets that are overdue ring again every day until they're closed; the ones that aren't urgent go into a weekly reminder.
• Whoever reported is told when it's accepted and when it's resolved. Every night there were tickets, the summary reaches your inbox, and the dashboard shows times and overdue tickets over 7, 30 and 90 days.

No rule obliges you to use Bedel. These are the ones quoted, with the article for your adviser. What applies to your premises depends on the country you're in; your adviser confirms it.

• In Spain, Law 31/1995 on the Prevention of Occupational Risks, art. 29.2.4: workers must immediately tell their superior about any situation that, in their view, poses a risk to workers' safety and health.
• Regulation (EU) 2016/679 (GDPR), art. 28, an EU rule: the business is the controller and Bedel the processor, with the processing contract published. More on GDPR.
• Regulation (EU) 2024/1689 (AI Act), art. 50, also an EU rule: anyone talking to an AI has to know it. Bedel says so from the very first message.
• WhatsApp Business Messaging Policy: sensitive identifiers aren't requested in the chat. Bedel doesn't ask for an ID document, a card or an account number.

With a half-hour session between whoever runs the premises and whoever runs maintenance. There's nothing to install and no inventory to load.

• Who handles what, the categories with their deadlines, what counts as urgent at two in the morning and who's on call.
• The number: the one the team already uses, or a new one connected to Meta's official platform.
• The rules and opening times you want the assistant to use; anything that isn't written down goes to a person.

• It isn't maintenance software or an ERP: no inventory, no purchasing, no invoices.
• It doesn't bring a group's premises together in one view: each account is one site, with its own Excel and the same columns in every one.
• It doesn't connect to other tools: not to your maintenance software, the till or the hotel's PMS.
