Monday, 7:52. The caretaker unlocks the building and the radiator in classroom 12 is stone cold. Before, it went into a notebook and got mentioned at the school office at nine. Today it's a photo sent to the school's WhatsApp. Bedel opens the ticket, alerts the site team and logs the time. When someone accepts it, the caretaker knows without having to ask. That evening, the head gets the summary of what's still open and since when.

What it is and what it isn't. Bedel collects fault reports from a school's staff on WhatsApp and follows each one until it's fixed. It isn't a channel for pupils or parents, and it doesn't handle pupil data: a ticket carries the place and the fault, never people. The caretaker, teachers, kitchen staff and the office report, because they're the ones on the school's list.

What Bedel does: Answers from the school rules, if they're written down. If not, it passes it to a person and doesn't make anything up

What Bedel does: First, two reminders to whoever has it. When the deadline passes, it goes up once to the role above and shows as overdue on the dashboard

In a school, a fault runs to a real timetable: break time, lunch, home time. Today the report goes into a notebook, an email to the office or the staff group chat, and nobody keeps the list of what's still broken.

• First thing: the heating. A cold classroom at eight is the urgent job of the winter.
• Break time: playground, fences and goals. Anything that touches safety can't wait until next week.
• Between lessons: toilets, interactive whiteboards, wifi and printers.
• Lunchtime: the kitchen and the dining hall, with fridges, dishwashers and extraction.

The staff group chat stays out of it. Reports are shared out according to the school's structure and rota: site team, IT, cleaning and kitchen, with the deputy head or the head above them.

• At night and at weekends, whatever the school marks as urgent rings on the phone of the role it leaves on call. Everything else is logged with its time until the next shift.
• There are reminders halfway through the deadline and near the end. If the deadline passes, the ticket goes up to the role above, without taking it off anyone; urgent ones ring again every day until they're closed.
• Whoever fixes it, in-house or a contractor, replies from their own WhatsApp with buttons and closes it with a photo or a note.
• The dashboard shows who accepts each report and how long it takes: it's there to share out the workload, not to keep watch on people.

The fault number belongs to staff, and anything about a pupil has its own channel.

• In Spain, Organic Law 8/2021 requires every school where minors study, whoever runs it, to have a coordinator for pupils' wellbeing and protection (art. 35.1). Wherever you are, anything that affects a pupil goes through the school's own safeguarding channel. This chat neither replaces it nor receives it.
• At the start, it's agreed in writing that tickets carry no pupil names. The number isn't given to parents or pupils; they carry on dealing with the school office.
• The school is responsible for the data and Bedel processes it on its behalf, with a published contract and the data kept in the European Union (art. 28 of the EU's GDPR). More on GDPR.

In Spain, a classroom is also teachers' place of work, so Royal Decree 486/1997 on health and safety in the workplace applies to it. This is our reading of the Spanish official gazette, not advice. What applies to your premises depends on the country; your adviser or your health and safety service confirms it.

• In Spain, annex II (section 4) of that Royal Decree asks for periodic maintenance of workplaces and their installations, and for anything affecting safety to be put right quickly. A ticket with the time reported and the time fixed records when action was taken.
• Annex III (section 3.a) sets 17 to 27 °C for sedentary work typical of offices or similar, and 14 to 25 °C for light work. It doesn't mention classrooms.
• Under Spanish Law 31/1995, workers must immediately tell their direct superior about any situation that poses a risk (art. 29.2.4). The WhatsApp message keeps its date.

A half-hour session, on a call, with the office and the site team. No pupils are loaded: just the list of staff who report.

• Who handles what, who sits above them and who answers during the holidays.
• The categories in your own words — "classroom", "playground", "dining hall" — their deadlines and which ones are urgent before first lesson.

• It isn't a channel for pupils or parents, and it doesn't keep pupil data in tickets.
• It doesn't replace the wellbeing and protection coordinator, the safeguarding lead or any other channel the school uses for children.
• It doesn't link to the school's management system, the council or the education authority: anything that must go through their official form still goes that way.
• It doesn't put several schools on one screen: each one is its own account, with its own number and its own Excel.
